Board of Directors Meeting Minutes

 June 11, 2025

 

Board Members in Attendance:  Maureen Pettis, Carolyn LaRosa, Sharon Decker, Mark Heppner, and Diane Jeffers.

Meeting called to order:  7:40 pm. 

Approval of May 2025 Meeting Minutes:  Approved.

Treasurer’s Report:  May 2025 financials reflected the following:  one CIT Operating Account with a balance of $8,017.88; two general fund CD's with balances of $5,990.62 and $5,849.68; one Reserve Study CD with a balance of $26,387.61; [Accounts Receivable - $6,017.44; Allowance for Bad Debts -($4,440.00); Prepaid Expenses - $301.19]; total other current assets with balances of $1,878.63; bringing the total assets to a balance of $48,124.42.

Old Business:

  • Unpaid Assessments: The delinquencies remain a problem with 9 homeowners owing multiple unpaid assessments (amounts ranging from $250 to $880; total delinquency approximately $4900).  Board sending letters reminding homeowners they have overdue assessments.  Board will continue placing liens on these homeowners and keep legal counsel informed of this action. 
  • Cleanup at Commonwealth and Sideburn: Board selected a vendor to improve the landscaping of entrance to KPW at this intersection.
  • Tree Work: Board paid vendor for completing work at 10408 Ashcroft Way.
  • 2025 Reserve Study: Board will pay Miller Dodson to complete a new reserve study.

 New Business:

  • Tree Work: Board will solicit bids from vendors to complete tree work at 5231 Nottinghill Lane and 10422 Collingham Drive. 
  • Board Meeting Schedule: Next monthly meeting scheduled for July 9, 2025, at Maureen Pettis’ home.
  • Annual Meeting Schedule: Annual meeting scheduled for July 16, 2025, at Laurel Ridge Elementary School.
