Board of Directors Meeting Minutes

February 13, 2013


In attendance: Linda Bufano, Mark Heppner, Joe Meyer, Larry Velte


Meeting was called to order by Joe Meyer at 7:25 PM.


Approval of January Meeting Minutes: The January meeting minutes had been previously unanimously approved electronically.†


Treasurerís Report: The board was informed that the current checking account balance as of January 31, 2013 is $12,740.25; the savings account is at $7,211.22; there are 2 general fund CDís in the amount of $5,285.59 each, and the reserve CD is $13,461.67 bringing the grand total to: $43,984.32


Assessments: As of February 11, 20 homeowners have not paid their 2012 assessment.† The Board decided to prepare and send final collection notice letters by certified mail to these homeowners in early March, informing them that unless the assessments and late fees are not paid within 30 days of the mailing, the Board will file liens on their properties.† Prior to sending these letters, Mark will verify mailing addresses with RCS Management.†


In a related action, Larry moved that the Board forgive the late fees, each under one dollar, of three homeowners who had paid the assessment.† The motion passed 4-0.† †


Old Business:

Website update: The Board discussed the possibility of changing our website vendor.† Joe Meyer will continue to research this process.† The discussion was tabled until the March Board meeting.†


New Business:

Annual Membership Meeting:† The Board began preparations for holding the 2013 annual membership meeting scheduled for May 22, 2013, including composing the preliminary post card, preparing the meeting notification letter, and updating the membership list.† Three Board positions will become vacant this year.†


Tree Removal:† A tree potentially endangering pedestrians on the pathway between Gainsborough and Tapestry requires removal.† As this is an emergency situation, Armand will arrange for removal on a no-bid basis.


Having no further business, the meeting adjourned at 8:05 p.m.
